Protecting Your Digital Files

I am sure that this blog has already featured dozens of posts giving you advice on how to keep your files safe from potential danger of loss and destruction. Some posts were dedicated to helping you organize your office, which essentially includes your files. Some posts talked about how will you be able to file and retrieve documents easily. Looking at the past posts will give you much knowledge when it comes to file organization and safety. If you will look at most of these posts, they deal more with the protection of physical files. However, in the 21st century, there is another kind of file that you have to protect--digital files. What can you do to ensure these files' protection? Here are some things to remind yourself. These are not groundbreaking ideas. They are just here to give you a reminder.
  • Make sure that the computers where your files are are protected from viruses, spyware, and other distasteful elements. Also make sure that you have a firewall running. You won't want just anyone to access your company's confidential files, do you?
  • Always create a BACKUP! This is one thing that many file keepers forget, so when an accident happens and all the files are deleted, they are deleted forever. Store them in other media like DVDs.
  • Then make sure that these backup files are stored somewhere safe. If you can afford, then purchase fire-safe data storage chest so you are sure these data are safe even when a fire breaks.
  • Keep your location safe from thieves and other wrongdoers. I guess this is obvious.

    There you go. Follow those reminders and you won't be crying over lost data. Remember, lost data means time wasted on recovery--and wasted time means wasted money of your company.
